One-Year Certificate Student Liaison

The International Center of Photography (ICP) is the world’s leading institution dedicated to photography and visual culture. Through our exhibitions, education, public programs, and community outreach, we offer an open forum for dialogue about the power of the image. Since our founding in 1974, we have presented more than 700 exhibitions and offered thousands of classes, providing instruction at every level. Our new integrated center on the Lower East Side reunites our school and museum in one space to become the cultural anchor of Essex Crossing.

Position Summary:

Under the direction of the One-Year Certificate Program (OYC) Manager, this position is responsible for the coordination, organization, and administrative maintenance of the One-Year Certificate Programs at the School of the International Center of Photography. This job requires a significant amount of administrative work on a variety of projects, and the ability to effectively organize and oversee multiple ongoing essential functions. This position interacts daily with students, faculty, and education staff. In addition to the execution of administrative duties, this position is responsible for the coordination and logistics of academic activities and student-related events.

 

Essential Functions and Duties:

Primary Administrative Responsibilities – 65%

  • Serves as a point person for currently enrolled One-Year Certificate students, ensuring all inquiries and requests are responded to in a timely manner
  • Maintains active correspondence with matriculating students and alumni via email regarding upcoming events, important reminders, and other relevant information
  • Coordinates logistics for all One-Year Certificate program events (including but not limited to OYC orientation, commencement, portfolio review day, and end-of-the-year exhibition) in collaboration with the OYC team and relevant departments, including Marketing, Facilities, Visitor Experience, and Development
  • Coordinates the production of the year-end Programs, certificates, and alumni ID
  • Under the direction of the One-Year Certificate Program Manager, submits information to the education production schedule and institutional calendars.
  • Create and disseminate a monthly newsletter to current OYC students, including information on current exhibitions, relevant student news, and alumni updates.
  • Oversee tracking of One-Year Certificate Program guest speaker requests and payments.
  • Annually collaborate with the Education administration on the proofing and editing of the OYC student handbook.
  • Maintain the OYC Student Resource Folder, including the development and sourcing of documents, policies, and procedures for OYC Students in collaboration with relevant department heads.
  • Help oversee the student work-study program's administrative aspects in collaboration with Human Resources and the International
  • Student Advisor, including student work-study orientation, job placement and coordination with work-study supervisors.
  • Help review and assess student’s grades and attendance records as part of the semesterly midterm assessment procedure and notify the OYC Program Manager and Program Chairs of any students not meeting the required standards.
  • Assist with providing school facilities tours to prospective students and visiting schools.

Registrar Responsibilities – 15%

  • Coordinates and enters all data for the One-Year Certificate student course registrations in collaboration with other OYC staff and Program Chairs.
  • Coordinates all course registration ADD/DROP requests
  • Proofs the OYC scheduling and course descriptions in conjunction with the Program Chairs, the Database Coordinator, and the Faculty Liaison
  • Maintains up-to-date digital student files for all matriculated students
  • Produces official and unofficial transcripts, certificate duplicates, and enrollment verification letters for current students and alumni as needed
  • Assists with the collection and distribution of OYC faculty and student evaluations
  • Assist with collecting final term student grades and attendance

Alumni Relationship Responsibilities – 15%

  • Obtains and maintains up-to-date contact and other information on alumni. Initiates collection of contact information for graduates of all programs, past and present
  • Supports Education Department recruitment efforts by managing alumni presence at info sessions and other ICP-related recruitment events
  • Works with the Education Department to coordinate alumni facilities access and other benefits and educates graduating students about alumni benefits and programs. Issues Alumni ID’s
  • Serves as an ICP point person for the ICP Alumni Committee
  • Help plan and coordinate Alumni Events
  • Coordinates alumni enrollment in current classes and assists alumni who wish to enroll for a second year of study
  • Partner with the marketing team to develop strategies to engage alumni, effectively utilizing ICP’s various communication platforms (web, social media, e-mail, direct mail, etc.)
  • Works with Marketing and Communications on increasing alumni presence on the ICP website and other platforms and providing alumni content for those platforms

Additional Responsibilities – 5%

  • Assists the One-Year Certificate Program Manager with the correspondence and follow-up with applicants to the One-Year Certificate (OYC) programs

Education Qualifications:

  • A Bachelor’s degree required
     

Minimum Experience Requirement:

  • 2-3 years of office & administration experience, preferably in an educational environment
     

Competency Requirement (Specific Knowledge, Skills and Abilities)

  • Strong computer skills – Microsoft Office Suite (advanced Excel and Access skills), ACEware (or similar database program)
  • Strong organizational and time management skills

Compensation:

$26.00 - $27.60 hourly
