Summary

Responsible for petty cash, making bank deposits, reviewing and recording of cash receipts, accounts receivable, mail/web orders, bank reconciliation, credit card reconciliations, and fees.

Essential Functions

• Record and manage accounts receivable invoices; make phone calls, send emails, faxes, and letters to delinquent customers
• Count cash and make bank deposits for admissions, museum store, development, membership, darkroom, digital media lab, and other miscellaneous accounts
• Make bank deposits for education tuition, accounts receivable, mail/web orders, and other miscellaneous deposits
• Entering cash receipts for all departments into G/L system under the proper fund, general ledger code, program, donor, and dates; includes contributions, revenue, admission, museum store sales, and other income
• Petty cash, petty cash reconciliation for darkroom, community program, museum store, admission, digital lab, and exhibition
• Record bank charges and returned checks
• Record all mail/web order invoices generated by the museum store
• Monthly bank reconciliation for operating account
• Reconcile six credit card accounts monthly; calculate and record fees to various departments/programs; transfer AmEx payments received for operating account, addressing differences as required; resolve disputes arising from inquiries and chargebacks

Additional Responsibilities

• Assist Bookkeepers and Controller as needed
• Type annual confirmation letters
• Cross-train; be able to fill in during absence of other Assistant Bookkeeper
• Other duties as assigned

Minimum Education Required

• Associate's degree preferred

Work Experience

• Minimum two years' relevant experience

Skills and Abilities

• Computer skills—Excel, Word, MIP or similar accounting software
• Excellent follow-through, attention to detail, and accuracy
• Good communication and interpersonal skills
• Ability to work independently and multi-task
• Team player
• Confidentiality
