Summary

Responsible for petty cash, review and recording of cash receipts, making bank deposits, entering general ledger journal entries, and approving bills.

Essential Functions

• Enter cash receipts—for all departments to G/L system (MIP) under the proper fund, general ledger code, program, donor and dates. Includes contributions, revenue, admission, book store sales, and other income

• Count cash and make bank deposits for admission, book store, development, membership, darkroom, digital media lab, and other deposits

• Petty cash, petty cash reconciliation for darkroom, community programs, book store, admissions, digital lab, and exhibitions

• Weekly admission report, visitor attendance, prepare monthly and yearly reports

• Update monthly restricted income schedules

• Monthly reconciliation and payments of Royal Realty occupancy cost—electricity, rental, cleaning, and taxes

• Record monthly postage expenses

• Code all phone bills monthly with special emphasis on the main AT&T bill, which requires percentage allocations to various departments; resolve billing disputes

• Print and distribute monthly Financial Statements & General Ledger detail reports

• Daily backup for MIP accounting system

• Maintain yearly storage destruction policy

• Enter journal entries to the general ledger

Additional Responsibilities

• Assist Bookkeepers and Controller as needed

• Reconcile Publications Steidl account

• Cross-train; be able to fill in during absence of other Assistant Bookkeeper

• Assist with accounts payable duties

• Other duties as assigned

Minimum Education Required

• Associate's degree preferred

Work Experience

• Minimum two years' relevant experience

Skills and Abilities

• Computer skills—Excel, Word, MIP or similar accounting software

• Excellent follow-through, attention to detail and accuracy

• Good communication and interpersonal skills

• Ability to work independently and multi-task

• Team player

• Confidentiality
